This Return and Refund Policy explains the terms under which VP Solutions LLC ("VP Solutions," "we," "us," or "our") offers cancellations and refunds for the event planning and coordination services purchased through our website at vpsolutionsllc.us (the "Site").
Because we provide professional services rather than physical products, this policy addresses booking cancellations, rescheduling, and refunds rather than the return of goods. By purchasing a package or service from us, you agree to the terms set out below.
1. Nature of Our Services
Our packages are event planning and coordination services; no physical product is shipped. When you book a package, your payment reserves our time, expertise, and availability for your event date, and authorizes us to begin planning work and, where applicable, to engage third-party vendors on your behalf.
2. Booking and Payment
Package fees are payable in full at the time of booking unless otherwise agreed in writing. Your booking is confirmed once payment is received and we send you a confirmation. Package fees cover our planning and coordination services only; third-party costs (such as venue, catering, rentals, and vendor fees) are separate and billed as described in your booking agreement.
3. Cancellations by You
If you need to cancel a confirmed booking, you must notify us in writing (by email) as soon as possible. Refund eligibility depends on how far in advance of your event date you cancel:
- Within 48 hours of booking and more than 30 days before the event: a full refund of the package fee, less any non-recoverable third-party costs already incurred on your behalf.
- More than 30 days before the event: 50% of the package fee is refundable, less any non-recoverable third-party costs already incurred.
- 15 to 30 days before the event: 25% of the package fee is refundable, less any non-recoverable third-party costs already incurred.
- Fewer than 15 days before the event: the package fee is non-refundable, as the majority of planning work and vendor commitments will already be complete.
The amounts and timeframes above are our standard terms; any specific terms set out in your individual booking agreement will govern if there is a conflict.
4. Rescheduling
We understand that plans change. If you wish to reschedule your event, please contact us as early as possible and we will make reasonable efforts to accommodate a new date based on our availability. One reschedule may be offered at no additional planning fee when requested more than 30 days before the original event date. Additional changes, or changes requested closer to the event, may incur a fee along with any additional third-party costs.
5. Non-Refundable Costs
Regardless of when you cancel, the following are non-refundable:
- Third-party vendor deposits or payments already made on your behalf;
- Custom materials, designs, or rentals already ordered or produced;
- Planning and coordination work already performed at the time of cancellation.
6. Cancellations by Us
In rare circumstances, we may need to cancel a booking — for example, due to events beyond our control. If we cancel and are unable to provide the agreed services, you will receive a refund of the package fee for any services not yet rendered. We are not liable for third-party costs or indirect losses beyond the refund described here.
7. Force Majeure
Neither party will be held responsible for failure to perform due to events beyond reasonable control, including natural disasters, severe weather, government actions, public health emergencies, or other force majeure events. In such cases, we will work with you in good faith to reschedule your event or reach a fair resolution.
8. How to Request a Refund
To request a cancellation or refund, contact us using the details in Section 13 ("Contact Us") and include your name, order number, event date, and the reason for your request. We will review your request and respond within a reasonable time.
9. Refund Processing
Approved refunds are issued to the original payment method used at checkout. Once approved, please allow up to 5–10 business days for the refund to be processed, plus any additional time your bank or card issuer requires to post the credit to your account.
10. Late or Missing Refunds
If you have not received an approved refund within the expected timeframe, please first check with your bank or card issuer, as processing times vary. If you still have not received it, contact us and we will help resolve the matter.
11. Chargebacks
If you have a concern about a charge, please contact us first so we can work toward a resolution. Initiating a chargeback without contacting us may delay the process and could affect future bookings.
12. Changes to This Policy
We may update this Return and Refund Policy from time to time. When we do, we will revise the "Last Updated" date above. Changes apply to bookings made after the updated policy is posted.
